Privacy Notice

Effective 17 October 2026 · Version YBT-PRIVACY-2026-10-17

We use your information to manage and deliver your editing order.

Our normal project-file retention period is 30 days after final delivery of the completed order and completion of requested agreed revisions. Keep your own copies of your footage and finished videos.

1. Who is responsible

حسن العبيدي, trading as Your Best Take, is responsible for personal information used to run this service. For privacy questions and requests, email [email protected].

Business correspondence address: Flat 50, Exchange Court, Back of the Walls, Southampton, SO14 3SB, United Kingdom.

2. What we use and why

For enquiries and orders, we use your name, email, any phone number you provide, order details, selected delivery order, payment status, terms acceptance, any request to start work early and correspondence. We also use limited technical information, such as a hashed network identifier and request timestamps, to prevent abuse and protect order access. To perform editing, we use your brief, footage, image and voice, brand assets, feedback and delivery links.

We use this information to take steps you request before an order and to perform our contract with you. We keep records where required by legal obligations, and use relevant information for our legitimate interests in maintaining security, preventing abuse and handling complaints or disputes, balanced against your rights.

Order contact information, payment information and usable project materials are needed to process payment and provide the service. If necessary details are missing, we may be unable to process or complete your order. Please do not include passwords, full card details, unnecessary personal information about other people or sensitive material in your brief. Contact us first if special handling is needed.

If you join our free waitlist, Supabase stores your name, email, style preferences, optional note and notification consent. We use these details to manage your request and email you about availability, based on your consent. Joining does not take payment or reserve a production place. You can withdraw at any time by emailing [email protected]. We review waiting entries and remove details when no longer needed for this purpose, subject to any necessary record of your preferences.

3. Who receives information

HighLevel supports our website and order administration. Supabase stores order records, payment status, editing briefs, selected delivery order, consent records and security records for access and abuse prevention. Stripe processes payments; we do not store full payment-card details. Google Workspace and HighLevel email services support order communication. Assigned editors receive only the project information and asset access needed for their work after an approved handoff. Google Drive is used for finished files.

Information is shared as needed to provide the service, comply with law or handle a dispute. Payment and platform providers may also process information for their own security, fraud-prevention and legal purposes under their privacy notices. These providers may process information outside the United Kingdom; contact us for details about the providers and transfer arrangements relevant to your order.

We do not use your footage or finished videos in our portfolio or advertising without separate permission. If our editing tools or providers change in a way that affects how personal information is handled, we will update this notice and provide any information or choice required by law.

4. Project files and retention

Our normal retention period for our copies of raw footage, working files and final exports is 30 calendar days after final delivery of the completed order, following completion of requested agreed revisions. This period does not start on the payment date or delivery of the first video in an unfinished pack. Keep your own backups of original and delivered files.

At the end of the period, project files are due for removal from our active storage. Removal is managed by the team, not an instant automatic purge of every provider backup. Provider backup copies may remain until their retention cycles expire. We do not send a separate expiry or deletion reminder.

We keep material still needed for undelivered work, active revisions or unresolved complaints until that need ends. Any necessary legal hold is limited to relevant information and reviewed. A file-storage deadline does not remove statutory remedies or cancel agreed revision rights.

Payment, accounting, order and necessary dispute records are kept separately for as long as required by applicable legal obligations or reasonably needed for the relevant claim or administrative purpose; the 30-day project-file rule does not apply to all business records.

5. Project briefs, browser storage and communication

The pack builder uses browser storage to remember your selection. The editing brief is saved in Supabase against your verified order. We retain the original submission separately from later changes and associate the purchase email confirmed by our payment provider. Your browser session stores your selected pack and an order access token. The server stores a cryptographic hash of that token. Keep order access links private. Unsubmitted information may remain on your device. Submitting a brief is not proof of payment; we match it to your paid order and check access to your materials before editing starts.

The site and payment providers use storage needed for core site and checkout functions. Any advertising or other non-essential tracking requiring consent must be handled through a separate choice. Agreement to our Terms is not consent to advertising cookies or general marketing.

Order and service emails are used to administer your request. We will not treat your purchase or Terms acceptance as permission to send unrelated marketing.

6. Optional Meta marketing cookies and conversion events

With your optional permission, we use Meta Pixel on our public landing page and Meta Conversions API to measure advertising performance. You can enable ad measurement using the separate, initially unchecked option in the pack builder or checkout. New visitors are not opted in automatically, and accepting order terms or requesting an immediate start does not enable advertising tracking. This can share page views, checkout starts, verified purchases and successful project-brief submissions with Meta. Purchase events include the order value and currency. We also share a hashed anonymous browser identifier and, where available, Meta browser and ad-click identifiers. We do not include your footage, editing instructions, name, email address, payment-card details or order access links in these event payloads. Meta may process event data under its own privacy policy.

Marketing tracking is optional. Rejecting it does not prevent ordering or using the service. Your Terms acceptance and early-start choice are separate from marketing consent. To turn measurement off, uncheck the optional ad measurement choice in the pack builder or checkout, or use the “Disable ad measurement” button where shown. Withdrawing consent stops future tracking from this browser and cancels unsent conversion events for orders accessible in the current browser session. Contact [email protected] if you need us to withdraw consent for another order or device. Withdrawal does not undo events already sent.

Your marketing-cookie choice is remembered for up to 180 days. We retain the separate order attribution and conversion-queue records for up to 30 days, with expired records removed by the scheduled cleanup. Payment and accounting records follow the retention rules explained elsewhere in this notice.

7. Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your information, object to processing based on legitimate interests, or withdraw consent where we rely on it. Withdrawal does not undo earlier lawful processing. Contact us at the email above; we may need to verify your identity before acting.

You can also complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint.

We update this notice when our actual practices change. The effective date above identifies this version.
